Knowledge management is how your organization finds and reuses past work in Domino. Tags sort assets into shared categories, Properties record facts about each asset, and search finds them.

How it works

Admins and Librarians define the tag structure and the available Properties. Asset owners apply both to their own Apps, Projects, Project Templates, Datasets, NetApp Volumes, and Models.
  • Tags sort assets into shared, hierarchical categories. Each Namespace is a key, and its Tags are the allowed values. A Project can carry business-domain:finance and methodology:survival-analysis together.
  • Properties record facts about one asset in typed fields, such as its owning organization or the date it was last validated.
  • Global search, listing filters, and the Tag Browser find assets across the deployment, within each user’s permissions. A Project set to Searchable appears in results even when its contents are restricted, and anyone who finds it can request access.

Choose between tags and properties

A Tag places an asset in a category your organization uses to group related work, like a subject heading in a library catalog. A Property records a fact about one asset, such as its risk tier or the date it was last validated. If a value names a category that related work belongs to, use a Tag. If it describes one asset, use a Property. A fixed list of values doesn’t make something a Tag. A Namespace limits Tags to a defined list, and the Single select and Multi select types do the same for Properties. They differ in what each one supports:
  • Only Tags nest, and only Tags filter list views and the Tag Browser.
  • Only Properties hold dates, numbers, users, and organizations, and only Properties take a separate value on each version of an App or Model.

Set up tags and properties

Set up Tags and Properties in this order:
  1. A SysAdmin or Librarian builds the tag structure in Govern > Tag Browser. Create Namespaces and Tags there, or import them from CSV.
  2. A SysAdmin or Librarian defines the available Properties in the same Govern area, choosing each property’s type and the assets it applies to.
  3. Asset owners apply tags and set property values from each asset’s overview page.

Who can manage tags and properties

Only SysAdmins and Librarians can change a Namespace’s Tags or the options of a Single select or Multi select property. Asset owners pick from what they define.

Work with knowledge management

Tags

Build a tag structure, apply tags to your assets, and find tagged work.

Properties

Define typed fields and record values on your assets.
  • Use Domino search: find files, Projects, Jobs, and comments across the deployment.
  • Collaboration: share and discover work across teams.
  • Projects: the unit of organization most classified assets belong to.
